Adding Late Students/ Staff Members
If you find yourself with additional students who weren’t included in the initial PSPA upload of your portraits, it’s a simple process to include them in your book.
Adding a Single Student with a Portrait
If you find yourself with a couple of last minute portraits, it’s easy to upload them into their classes!
- Open the class folder to which you’d like to upload the portrait and click Upload
2. Once uploaded, click the info button to open up the details for the portrait
3. Enter the Name, Grade, Teacher, etc info that applies to the student.
4. Check to make sure your information applied correctly.
If you have already flowed the class, you may see a notification that the class will reflow. This is normal, but be sure to open the editor and check to see that everything flowed as expected and no students were kicked off the class page.
Adding Students With No Portrait
If you’d like to upload students with no portrait, you can upload a placeholder image in place of a portrait, so they still feel like part of the class!
Get creative and use a piece of clip art that corresponds to your theme or your school mascot if you don’t want to use a blank person graphic. Find tons of free clip art graphics in the Studio Source Content Catalog.
- Open the class portraits folder to which you’d like to upload your placeholder image and click Upload
2. Click Add Files and select the placeholder image from your computer, to be uploaded.
3. Click the info button to enter details about the student.
4. Enter the Name, Grade, Teacher, and any other necessary information for the student.
5. Check to make sure that the information applied correctly. You should now see their name applied to the placeholder image.

You can do this as many times as you’d like, to add multiple students, but if you find yourself with many students requiring this process, you may save time creating your own PSPA and uploading them all at the same time. The following section will. outline how to do so.
Adding Multiple Late Students (Make your own PSPA)
If you have a lot of late students, it may be easiest to create your own PSPA and upload them all at once. With a few easy steps, you’ll save yourself a lot of time.
- Open a new Excel file and save it as a .txt file called “Index” (here’s an example one to get you started)
2. Make a column for each of the following categories:
– School Name
– Image Folder (which contains your portraits and/or placeholder image)
– Image File Name
– Grade
– Last Name
– First Name
– Teacher
– Homeroom Teacher (if needed)
Fill out the information for each party to be uploaded. If uploading staff members, their Teacher will most likely be Staff, and their grade will be S (but check to see how current staff members are set up in your book).
Save your index file once all students/staff members are filled out. (Note: it is important that your image file names are EXACT, ex. IMG_100123.jpg)
You can use the same placeholder image for multiple people. Their image name will just be the same.
3. Place your saved Index.txt file in a folder with your Images folder
4. Once inside Pixami, navigate to the Photos page and open up your Portraits folder. Click Portrait Import.
5. Drag your Index.txt file into the uploader.
6. Match up the column numbers found at the top of the data list to your corresponding data, using the dropdown menus. (Ex. “Image File Name” will be found in Column 3)
Check the “Ignore first row” box so your category labels on the top of your index file don’t get included as a student.
7. Make sure your “Key Folders” are set up the way your existing folders are already set up, in this case, you can see the existing folders are set up as Grade/Teacher
8. Drag all of your portraits onto the uploader when prompted.
9. Make sure the Folders on the left column match columns on the right (the ones already uploaded into your book) if you want your uploads to be added to existing classes.
10. Once uploaded, check your portraits to make sure they were placed in the correct classes and their information uploaded accurately.
Your classes will reflow with the newly added students, so be sure to open the editor and check to see that everything flowed as expected and no students were kicked off the page.
